Purpose, usage and disclosure of personal data
In the framework of application for and implementation of projects and programmes in the national / international context, involas is interested in expert know-how in the fields of Education and Training, Labour Market and Employment, as well as Social Inclusion and Protection. However, from time to time involas needs experts who are competent in other areas and/or experts who could provide combined knowledge of different sectors and sub sectors (see areas of expertise in the registration form) and who are willing to work with us as freelancers or hiring on a project basis.
The processing of your data takes place voluntarily on the basis of your consent. To be included in the database, applicant experts need to register by completing the registration form. For certain fields (name, contact details, nationality, present position, country of residence and experience, areas of experience and language skills) specifically marked on the form, provision of data is compulsory.
Your registration will be reviewed by the responsible database staff of involas in order to assess whether your professional profile meets our requirements or not. Upon approval you will receive a confirmation message and your data will be included automatically in our database. Together with the confirmation you will receive a personal login and password, so that you can regularly up-date your profile.
In case your professional profile does not meet our requirements you will also be informed and your data will be removed.

Which of your data is processed by us? And for what purposes?
In the expert database the following data are processed:
- Name and contact details
- Age, gender and nationality
- Information on professional career and professional experience and skills such as language skills
- Curriculum vitae and possibly certificates
- Server-Log-Files (when using our website, general information is stored that your browser transmits to our server. By default, this includes: browser type / version, operating system used, page viewed, page previously visited (referrer URL), IP address, date and time of the server request and HTTP status code.)
The data will only be used for cooperation with you in the context of application and implementation of tenders / projects.
What is the legal basis for this?
The legal basis for the processing of your personal data in the context of the involas expert database is your consent (Art. 6 Para. 1 lit. lit.b) GDPR) and if applicable Data processing for the fulfillment of contracts or the implementation of pre-contractual measures (Art. 6 Para. 1 b) GDPR).
The processing of the server log files is done to protect our legitimate interests and is based on the legal basis of Art. 6 Para. 1 S. 1 f GDPR. This processing serves the technical administration and security of the website. The stored data will be deleted after seven days if there is no justified suspicion of unlawful use based on specific indications and further verification and processing of the information is necessary for this reason.
When processing personal data based on consent, you have the right to withdraw your consent to us at any time with future effect. The legality of the data processing carried out before the revocation remains unaffected by the revocation.
How long will the data be stored?
We process the data as long as this is necessary for the respective purpose.
The stored personal data will be deleted in the event that you revoke your consent to its storage, it is no longer required for the purpose for which it was stored, or its storage is unlawful due to other legal reasons.
Insofar as there are statutory retention requirements - e.g. in commercial law or tax law - the relevant personal data is stored for the duration of the retention obligation. After the retention period has expired, it is checked whether there is further need for processing. If there is no longer the need, the data will be deleted.
Of course, you can at any time (see below) request information about the data we have stored about you and, in the event of non-existent necessity, request that the data be deleted or processing restricted.
Who are the recipients of the data?
Your personal data will be passed on to third parties if this is necessary as part of the tendering process (e.g. submission of CVs to consortium partners, customers), for contract fulfillment or for billing purposes. Under certain circumstances, the application for a project may result in data being transferred to a third country or an international organization that cannot guarantee an adequate level of data protection and, as a result, data subject rights may not be enforced.
The legal basis for this is in accordance with Art. 49 (1) subpara.1 lit. a) GDPR your consent, which you can revoke at any time.
Your personal data will only be passed on to other third parties if this is necessary for the execution of the contract with you, the transfer based on a balance of interests according to Art. 6 para. 1 lit. f) GDPR is permissible, we are legally obliged to pass it on or you have given your consent.

Where is the data processed?
We process your personal data exclusively in data centers in the Federal Republic of Germany respectively and the European Union respectively.
Your rights as a "person concerned"
You have the right to information about the personal data we process about you.
In the case of a request for information that is not made in writing, we ask for your understanding that we may then ask you to provide proof that you are the person you claim to be.
You also have the right to correction, deletion or restriction of processing, insofar as you are legally entitled to do so.
You also have a right to object to processing within the framework of the legal requirements. The legality of the data processing carried out before the revocation remains unaffected by the revocation.
The same applies to a right to data transfer. You can request data transfer at any time under the conditions of Art. 20 GDPR.
